Pixel Mediary ("Pixel Mediary," "we," "us," or "our") provides web design, digital marketing, photography/videography, and custom application services, including a client portal for managing projects, estimates, and invoices. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
We do not sell or share your information
We do not sell your personal information, and we do not share client information with third parties for their own marketing or advertising purposes. We only disclose information as described in this policy — primarily to the service providers that help us operate (such as our hosting and email providers, acting solely on our instructions) or when required by law.
Information we collect
- Contact and account information you provide to us, such as your name, email address, phone number, company name, and mailing/billing address, including through our contact form or when we set up a client portal account for you.
- Project and billing information related to the services we provide, including project details, files or assets you share with us, task comments, and estimate/invoice records.
- Client portal credentials — your email address and a securely hashed password. We never store your password in plain text.
- Digital signatures you provide in the client portal when approving an estimate or invoice.
- Technical and security information, such as IP address and timestamps, which we log for account security, fraud prevention, and to maintain an audit trail of actions taken on your account.
How we use information
- To provide, maintain, and improve the services you've asked us for.
- To create and manage your client portal account, and to show you the projects, tasks, estimates, and invoices associated with your account.
- To communicate with you about your projects, respond to inquiries, and send service-related notices (such as letting you know a new estimate or invoice is ready for your review).
- To process and track billing, payments, and account records.
- To maintain the security of our systems and your account, including keeping an audit log of status changes and approvals.
- To comply with legal, tax, and accounting obligations.
Cookies and similar technologies
Our client portal and admin system use a secure, essential session cookie so you can stay signed in. This cookie is required for the portal to function and is not used for advertising. We do not use third-party advertising trackers on this site.
How we store and protect information
Information is stored on secure, access-controlled infrastructure provided by Amazon Web Services (AWS). We use industry-standard practices such as password hashing and encrypted connections. No method of transmission or storage is 100% secure, but we work to protect your information and limit access to those who need it to provide our services.
How long we keep information
We retain client and project information for as long as needed to provide our services and to satisfy legitimate business, tax, and legal recordkeeping requirements. If you'd like us to delete information that we're not otherwise required to keep, contact us and we will accommodate your request where possible.
Your choices and rights
You can review or request corrections to your account information at any time by contacting us. Depending on your state of residence, you may have additional rights regarding your personal information, such as the right to request access to, or deletion of, the information we hold about you. To exercise these rights, contact us using the information below.
Children's privacy
Our services are intended for businesses and individuals who are at least 18 years old. We do not knowingly collect personal information from children.
Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above. Continuing to use our website or client portal after changes are posted means you accept the updated policy.
